You can set different schedules for your courts, different rules, times and prices for members, non-members or anyone with a role at your venue.
To manage your schedules, firstly select the 'Booking' module on the left of your screen within the admin area. Select 'Settings' in the top right of your screen:
Now select 'Manage Schedule'.
The next screen, you can add a number of schedules and set the dates you would like this to apply to your booking sheet. So at the start of the year you could create a separate schedule for each season. Please note, that if the dates overlap then the booking sheet will automatically pick up the default schedule rule. The dates must not overlap.
Any schedules you do not wish to use simply select 'Delete' to remove them. You do not have to create seasonal schedules you can use and update the default schedule if you prefer.
Now select 'Manage' to the right of schedule you are updating.
The next screen will be a grid, showing the time slots vertically and the days across the top, the timing will show inline with the times you entered in your basic settings.
If you have a default schedule applied to all courts, then when viewing 'All courts' in the drop down menu the default schedule will appear.
In the following example I am going to update the default schedule, so this will be applied to all of my courts.
To the left of week grid, will be a list of any rules that you have created, in the example below, no rules have yet been created, therefore we only have the 2 options - 'Default' rule and 'Closed'.
To create a rule select 'New rule'
The next screen, you will be able to name your rule, select who this applies to and also enter the court booking cost for that rule. In the example below, I have created a rule for the venues coach, so that anyone who is assigned coach can make court booking at no cost.
Once saved, the rule will appear in your listing on the left of your page, what you need to do now is apply that rule to your schedule.
In the example below, I only want to apply the coaching rule to Mondays, so the first thing to do would be to select the purple box next to 'Coach' and then select all of the booking slots until Monday so they are purple.
This would then allow the coach to make bookings every Monday at zero cost.
If you wish to allow members and non members to make bookings at different cost, you can either update the 'Default' rule or create a new rule. In the following example I am going to edit the 'Default' rule.
The below example would allow anyone who has an active membership to book a court at zero cost and anyone else to book at a fee. The lighting cost only applies to venues that have floodlights.
Create a Separate Schedule
You can create different schedules for each of your courts.
To do this, in the drop down list above your grid, select the court you wish to create a separate schedule for. The select 'Create separate schedule'.
In the following example I am going to make this court available for pay & play users only, so I am going to create a new rule. By selecting 'Everyone' this rule to apply to anyone who does not hold an active membership at the venue.
Once the rule is saved, this then needs to be applied to the court schedule.
Select the pink box next to the new rule 'Pay & Play', if you select the first slot under Monday, hold down the left button on your mouse and then scroll over the grid this apply the colour to the schedule.
Now the rule has been applied I can 'Save schedules'. This rule will now allow only pay & play customers to book Court 3.
If you decide you wish to no longer use a separate schedule and would like to revert back to the default schedule, you can select 'Use default schedule' under your list of rules.
The rules you created will not be deleted they will just be removed from the court booking sheet and only the rules applied in your default schedule will apply to this court.
Close a Court
If for any reason a court needs to be temporarily closed, you can apply this in your schedules. Select the yellow box next to the 'Closed' rule.
And then apply this to the correct court, day and time. In the example below I have closed court 3 on the Friday for the whole day.
Remember, if you are applying a rule to 1 court only then remember to select the court in the drop down list above the weekly grid. If this was on all courts and the rule was applied, this would then close all courts for for the whole day on the Friday.
