To import your junior members, you will first have to create a junior package. You should create a package for all junior memberships available at your venue, e.g. Junior Under 18's 2019, Junior Under 10's 2019.
Once your junior package(s) have been created, you can now import your junior members into them by importing from another package or by placing them into a spreadsheet and importing the spreadsheet.
Please find an example junior import spreadsheet at the bottom of this article. You can use this spreadsheet to import, you will just have to clear the dummy data.
There are 2 ways you can import junior members, and they are:
- Import Existing Package
To import from an existing package, use the drop down box to select what package you wish to import from e.g. Junior 2018, these members will then appear within your Junior 2019 package as pending until their membership is paid
- Import from an External File
With our junior import file, we require an adult contact to be associated with each junior. These adult contacts should be included of a separate row on the junior spreadsheet. If there is more than one child with the same adult contact, it's okay to just include the adult contact once.
Even if the adult has their own separate membership, they should still be included on the junior spreadsheet. To ensure that a duplicate contact isn't created for the Adult, please use the same First Name, Last Name and Email that is associated with the adults account within your system.
Each person on the spreadsheet should have there own unique Contact ID. The Contact ID of the adult contact should then be put in Primary Contact ID field of the juniors and the adult to link the junior's and adult together.
The Contact ID, Primary Contact ID, First Name and Last Name fields are compulsory on the Junior Import Sheet.
Contact ID is the unique membership number which you give to each member. It can be a number, letter or symbol.
Feel free to populate the rest of the document with as much or as little as you would like. You are able to edit members information once they have been imported. The cost, payment and date fields should be filled in on the row of each junior. The adult contact will receive all payment requests and invitations.
Do not remove any columns or change the wording of each column. If you do not have the data, just leave them blank.
Within your email column, emails must be valid and contain an '@' sign. Please also keep an eye out for full stops, as this can cause an error when importing.
How to Import
To begin your import, head to the 'Membership' module within the admin area and click on the membership package that you would like to import into, in this case it is Junior 2019
The click on 'Import members', where you will get a choice to either import from an existing package or to import an external file. If you choose to 'Import from an external file', then download the template and enter all your junior members details.
To import from an external file, firstly select 'Browse' to choose the file you wish to upload, and then click the 'Import' button. Once the file has successfully imported go back into the membership pack.
Back in the membership package, you will see all the junior members who are now within the package.
If you select the tab (above the filter options), you will also be able to see the Main Contacts and send them emails, payment requests and invites.
